Booth at Vendor Fair


The 2020/2021 Thoroughbred Makeover and National Symposium's Vendor Fair will be open Tuesday-Sunday, Oct. 12-17th. Events take place daily in the Covered Arena, with major events including the Makeover Master Class on Friday and the Finale on Saturday. A large screen in the Covered Arena will broadcast commercials and static ads throughout competition; contact Julia Oughton, Program Developer, at about purchasing commercial time or advertising packages via web, print or social media.

VENDOR FAIR FULL: Note that we are currently accepting applications for the Vendor Fair wait list as the fair is full. Please use the Vendor Fair Application and we will contact you as booth space opens.

Booth Cost:

Vendor booths: $600 for businesses (this price includes the $50 Kentucky Horse Park fee). Businesses/organizations who are including a vendor booth as part of a larger sponsorship package do not need to complete the vendor application and their booth fee is included in the sponsorship invoice, unless otherwise specified. Businesses purchasing a vendor booth ONLY should submit a vendor application and will receive an invoice from the RRP. 

Non-profit booths: Booth space is offered for $200 for non-profit Thoroughbred placement organizations (which includes the $50 Kentucky Horse Park fee).

If desired, tables, chairs, electricity, and/or pipe and drapes will have to be purchased directly through LEXPO (not RRP). LEXPO ordering will be available later in 2021. One WiFi access code is included with each booth fee; please specify if you require WiFi access in your booth application. Additional WiFi codes for additional devices can be purchased for $50 each.

Booth Assignment, Fees, and Refunds:
Booth assignments are not made and will not be guaranteed until booth fees are paid in full.
If a vendor must withdraw their booth reservation after they have paid, written notice is required and refunds will be available as follows:
  • If notice is received 30 days or more prior to the first day of the event, 75% of fees will be refunded.
  • If notice is received between 29 and 10 days prior to the start of the event, 50% of fees will be refunded.
  • If notice is received in the nine days prior to the start of the event, no refund will be issued.

If the RRP is forced to cancel the event, vendors will be provided with the following options:
  1. Rollover fees: rollover paid fees to 2021 and be guaranteed the same booth space and rate, no reapplying necessary. Vendors showing their support by rolling over their booth fees will also be included in a virtual trade fair on RRP social media, website, and email lists.
  2. Winter advertising: vendor will receive 1/4-page ad in Winter 2020-2021 issue of Off-Track Thoroughbred Magazine and will be included in a virtual trade fair on RRP social media, website, and email lists.
  3. Refund: The RRP will refund 75% of paid fees by December 31, 2020 and reserves the right to issue refunds in two portions if needed.

Size: 10’x10’. You may purchase multiple booths for additional space. Outdoor space is also available.

Badges: Each vendor booth comes with two vendor badges for entry. Additional badges for booth staff are available at $10 each and will need to be purchased online through the 2021 Vendor Fair Application, or at the Info Booth on-site. Badges will be included in the vendor packet which can be retrieved on-site at the Info Booth in the Covered Arena at the Kentucky Horse Park. Packets will not be mailed.  

Parking: Each vendor will receive one pass. Parking passes will be included in your packet which should be picked up at the Info Booth in the Covered Arena. To get access to the KY Horse Park prior to receiving your packet, please give the guard at the entrance your company name (which will be on a list) and you will be let through at no charge. Additional passes are available at $15 each and will need to be purchased online through the 2021 Vendor Fair Application. Vendor parking will be with general parking. 

Show hours: Two move-in options: Monday, October 11 and Friday, October 15, through Sunday, October 17

Location and Directions: The event is being held at The Kentucky Horse Park in Lexington, KY. You need to use the main entrance at 4089 IRON WORKS PARKWAY, LEXINGTON, KENTUCKY 40511.  This year’s event is being held in the Covered Arena. Sponsor Fair booths are located along the apron of the Covered Arena. There are ramps for loading/unloading. See map below.

Shipping: You cannot ship your booth materials to the Kentucky Horse Park. You will have to arrange shipping and delivery through Lexpo.
